HELYO Ry (Y-tunnus 3649798-7) — Terms of enrollment for the Helsinki English-language youth string orchestra.
Last updated: 22 September 2026
1. Enrollment & Season Structure
Membership in HELYO runs by term, within a season consisting of two terms:
- Term 1: mid-August to mid-December
- Term 2: mid-January to mid-May
Enrollment for a term is confirmed once the parent/guardian has completed the audition process and the term fee has been received.
2. Fees
- Full season: €800 (both terms)
- Single term: €450
The season/term fee covers weekly full-orchestra rehearsals, sectional rehearsals, small-group instruction, two main concerts (December and May), and Chamber Strings invitational performance opportunities, as described on helyo.fi. Private lessons, where taken, are billed separately and are not included in the season/term fee.
3. Payment
Fees are invoiced upfront, prior to the start of each term. Payment is due within the timeframe stated on the invoice. A place in the orchestra is not guaranteed until payment is received.
Accepted payment methods include direct deposit, Mobile Pay, and may include invoicing (payment terms will be added once invoicing is activated).
4. Withdrawal & Refunds
- Withdrawal requested before the term begins: full refund, less any non-refundable costs already incurred on the member’s behalf (e.g. instrument rental setup, if applicable).
- Withdrawal requested after the term begins: fees are non-refundable, except at HELYO’s discretion in cases of documented medical circumstances or relocation out of the Helsinki area.
- HELYO reserves the right to review refund requests on a case-by-case basis.
5. Attendance & Commitment
Members are expected to attend weekly rehearsals, sectionals, and small-group sessions as scheduled, and to participate in the December and May concerts. Repeated unexplained absence may affect a member’s continued place in the ensemble, at the discretion of the Musical Director.
6. Instruments & Equipment
Members are responsible for providing their own instrument in playable condition, unless a separate rental arrangement has been made. HELYO does not provide instrument insurance; families are encouraged to ensure their own instrument is adequately insured.
7. Conduct & Safeguarding
All members and families are expected to comply with HELYO’s safeguarding policy. HELYO is committed to providing a safe, respectful environment for all young musicians. Concerns should be directed to hello@helyo.fi.
8. Founding Member Terms
Founding member seats and associated perks (as described on helyo.fi) are offered for the 2025–26 founding season only, are limited in number per section, and are non-transferable.
9. Changes to the Programme
HELYO reserves the right to adjust rehearsal schedules, venue, or programming where necessary (e.g. venue availability, weather, force majeure), and will communicate any such changes to enrolled families as early as possible. Concert dates are set with reasonable notice but may be subject to change in exceptional circumstances.
10. Photography & Media
HELYO may photograph or record rehearsals and concerts for use on helyo.fi and its social media channels. Parents/guardians may opt out of their child’s image being used by contacting hello@helyo.fi; enrollment does not require consent to media use.
11. Governing Law
These terms are governed by the laws of Finland. HELYO ry is a registered association under Finnish law (Y-tunnus 3649798-7).
